Abstract Submission
Platform Presentation
What do you mean by “platform presenter”?
As a platform presenter, you will have a 12 minute time slot in the programme to present your work during a session.
I have been notified that my abstract has been accepted for an oral presentation but I do not want to submit a full paper. Is that possible?
Yes, it is possible. In this case, only your abstract will be included in the online pre-print proceedings.
I want to prepare the presentation for my paper. Where can I find the template?
Only authors with an oral presentation should prepare a presentation according to the template. Under the section “Abstracts” there is the “Templates” field. Please have in mind that the presentation will be only for 12 minutes.
Where can I upload the presentation for my paper?
Details on how to upload your presentation will be sent to you at a later date.
When is the deadline to upload the presentation for my paper?

My organization insists on using our official presentation template and not the IWA template. What can I do?
In case you must follow another presentation template you can still present your work in a non-IWA template.
If there are changes on my presentation what should I do?
In case there are changes, please visit the Speakers Preparation Room at the Venue at least one hour before the session starts to give us the final version of the presentation. Have in mind that on the title of the file only the paper ID should be indicated.
I cannot attend the Congress. Can a colleague of mine, who is going to the Congress, present it on my behalf?
The paper must be presented by the author or co-authors. If your colleague is not the co-author of the work, it is not possible to present it on your behalf. If any of the co-authors is attending the Congress, they may present it instead of you. Changes of presenter must be communicated to the IWA secretariat before the author registration deadline at wwce2022@iwahq.org. Papers will be excluded from the Programme if presenting author changes are not communicated to the IWA secretariat.
What is the maximum number of papers that one person can present?
We only allow a maximum of 2 accepted submissions (selected for posters and/or platforms) per presenter.
I have submitted a paper that will be part of the Programme of the Congress. Do I have to pay the registration fee?
Yes, you must register and pay the registration fee. Authors need to register during Early Bird period. Papers from authors that do not register to the Congress before the end of the early bird registration deadline will not be included in the Congress Programme.
Poster Presentation
What do you mean by “poster presenter”?
As a poster presenter, you will have a poster board to display your work and your poster will be grouped with other presentations, by topic. As a poster pitch presenter you will also have a 3-minute slot to present your work during a technical session related to your topic.
Why is it important to submit the digital poster?
The submission of the digital poster will allow you to show your work to a wider audience through the online proceedings of the Congress. IWA will have the proceedings available for all the registered delegates before the Congress. The IWA secretariat cannot ensure that digital posters received after the deadline will be available online before the Congress.
If I send the digital poster before the Congress, do I still need to bring the hard copy of the poster with me?
Yes, poster presenters are requested to print and bring the hard copy of the poster (A0 format, 120cm high x 80cm wide, vertical) to the venue. The IWA secretariat cannot print posters.
When do I need to display the poster?
Ideally all posters should be put up on the poster boards on Monday morning. Posters will be shown for the duration of the event. If you need to leave before the end of the Congress, you can take your poster with you. The IWA secretariat will not keep posters left behind after the deadline for collection on the final day of Congress.

No, authors with a poster presentation should not submit a full paper. They only must prepare a digital version of the poster and a hard copy to bring and display at the venue according to the instructions. You can find the template here.

I would like to deliver an oral presentation, but my paper was selected for a poster presentation. Is there an opportunity to give an oral presentation?
We receive a high number of submissions for a limited number of oral presentations. The independent Programme Committee reviews all submissions and unfortunately we cannot include all submissions in the programme. If an oral presentation is canceled by the author, registered poster authors are invited to fulfill the available slot.
Workshop Session
Which is the official language of the conference?
The official language of the conference is English and the communication with the Secretariat should be in English.
Do I need to register? How about the speakers I intend to invite to my session?
The organisers and the invited speakers need to register before the end of the early bird registration deadline to make sure that the session is included in the Programme.
How do I know the layout of the room and what equipment is available?
All rooms will be equipped with a stage, laptop, projector and other AV systems as well as technical support staff. In addition we’ll also ask your preferred room layout (e.g. theater style, round tables) and any preferred supporting materials (e.g. flip charts). Please bear in mind that the preferred room layout and preferred supporting materials are subject to confirmation by the Congress secretariat.
Full paper submission
I have been notified that my abstract has been accepted for an oral presentation but I do not want to submit a full paper. Is that possible?
Yes, it is possible. In this case, only your abstract will be included in the online pre-print proceedings. If you want to update the abstract to be included in the online pre-print proceedings of the Congress please login to your profile with the details indicated on the acknowledgment email and replace the previous version of the abstract.
Will my full size paper be published in a peer reviewed scientific journal?
The submitted full papers will be sent to the IWA journals (Water Science & Technology, Water Supply, Water Practice & Technology) for further review. Please note that acceptance of a paper for conference presentation does not guarantee subsequent acceptance for journal publication and the final decision on journal publication lies with the journals’ Editor-in-Chief. IWA Publishing will contact the authors accordingly. In general it is not mandatory for authors with abstracts that have been selected for a platform presentation to submit a full paper.
Where can I find the template to prepare the full paper?

Session Chair
I have been invited to become a Session Chair. Where can I find the abstracts of the session?
In order to find more information on the sessions you are co-chairing you can always search on the online programme by your last name or the name of the session. There you can find the short abstracts of the presentations as well as the affiliations of the authors. An email with instructions and access to the extended abstracts will be sent to the chairs soon.
Registration
Registration rates: What does “LIC.” stand for, and how do I know if my country is eligible for the discounted rates?

I have submitted several papers, which ID shall I give in my registration?
If you have more than one submission please send us a full list of all the IDs (7 digit codes) to wwce2022@iwahq.org as soon as you register. We kindly remind you that each registered delegate can represent a maximum of 2 submissions.
Funding
Can IWA help me in covering my registration fees and/or my accommodation to attend the Congress?
The International Water Association is a non-for-profit network; we are not able to fund the attendance of delegates to the Congress. We advise you to have a look at other funding opportunities that could support your attendance.
Invitation Letters/Visa
Will I receive an invitation letter to the Congress from the IWA in order to facilitate my VISA process?
We are not able to provide an invitation letter before the registration is completed. Therefore we kindly ask you to proceed with payment and send us the proof of payment. We will be pleased to send you an invitation letter.
Proceedings and Publication
Is it necessary to submit a full paper if I do not intend to have the paper published in the journal?
Authors whose abstracts have been selected for a platform presentation do not need to submit a full paper. The selected abstracts from oral presenters will be sent to the IWA Water and Sanitation Journal for further review. The final decision on publication will be taken by IWA Publishing journal editors.
Can I submit a paper for publication if my paper will be presented as a poster?

What are the preprint proceedings of the IWA Congress?
The preprint proceedings are a collection of the content presented at a Congress (abstracts of oral presentations and digital versions of posters). The preprint proceedings will be available for all registered delegates of the Congress.
Can the preprint proceedings of the IWA Congress be referred to as a publication?
No, the preprint proceedings are not a publication. Platform presenters may submit their abstract through the Congress for publication. The final decision on publication will be taken by IWA Publishing journal editors.
Authors automatically hold the copyright to their conference submissions, if the paper is accepted by the conference, the authors agree that their paper or abstract or poster can be used by the conference in the preprint proceedings of the event using the online platform (unless the authors expressly ask that this is excluded). The authors also agree that the conference organisers can send their papers to IWA Publishing for possible publication in their journals. If accepted in the journal the authors will pass their copyright to the publisher unless they are choosing to publish with an Open Access licence.
Congress Mobile App
Will there be a Congress mobile app?
Yes, there will be an app for the World Water Congress and Exhibition. Only registered attendees will get fully access to the app content approximately 1 week before the event.
What will be the content of the app?
The app will have the most updated content at any time and will be updated also during the Congress. The programme with all its details will be included in the app. Additionally, the list of presenters, posters, exhibitors, sponsors and attendees will be available there. Within the app you will also find details about IWAPublishing, access to the online pre-print proceedings and some useful general information regarding the place and how to navigate at the Congress venue. Users will be able to link all their social profiles with their congress app profile and share within their network their posts. The App is available in iOS and GooglePlay stores and in an online version.
I have registered but I have not received an email to download the app yet. Is there something wrong?
An email on how to download and install the app to your mobile devices (smartphones, tablets, laptops) will be sent to the registrants approximately 1 week before the actual event.
I received an email to download the app but I cannot login. What can I do?
To navigate the Congress Programme you need first to download the app from your store by clicking on the “Download” button of the email. Then go back to the email and click on the “Verify your Account” button. You can always watch the video with the steps here.
I registered for the Congress but I did not receive an invitation. What should I do?
Send an email to the wwce2022@iwahq.org with your registration number with your request. An invitation will be sent to you shortly.
I register for the Congress and I tried to download the app with the QR code but it does not seem to work. What should I do?

Another attendee has access to more features than I do. Why?
Exhibitors and Exhibition Visitors do not have access to the Programme and the Speakers. The rest Delegates do have access to this information. If you do not belong to any of these categories and you still do not have access to these features, send an email to the wwce2022@iwahq.org with your registration number with your request.
